How to use VanBooks
A short video for each part of the app, under a minute each. The steps are written underneath too.
1. Set up your invoice details
- Open Settings and add your business name, trade, address and phone.
- Add your bank details so customers know where to pay.
- Choose how you claim for your van, then tap Save settings.
2. Make and send an invoice
- Tap Jobs, then New.
- Add the customer and a line for each piece of work or materials, then tap Create invoice.
- Send it by WhatsApp or text, or copy the link into an email. Already sent it? Tap I've sent it another way.
3. Record a payment
- Open the invoice from Jobs.
- The amount and today's date are filled in. If they paid less, change the amount and VanBooks keeps track of what's left.
- Tap Record payment.
4. Log a job by voice or typing
- Tap the mic and say what you did: the job, the customer, the price, anything you bought and the miles.
- Or type it, then tap Read my note.
- Check the invoice, cost and journey VanBooks drafts, change anything, then tap Save.
5. Add a cost or receipt
- Tap Spend.
- Snap the receipt and VanBooks reads it, or type what it was for, the amount and where from.
- Check the category and tap Add cost. Select costs and tap Share to send them to your accountant.
6. Log a journey
- Tap Spend, then Mileage.
- Add where from and to, the miles and the reason.
- Tap Add journey. VanBooks works out your mileage allowance.
7. See where you stand
- Today shows what to put aside for tax so far this year.
- Below that, this quarter's money in, costs and profit.
- And who still owes you, with a link to each invoice.
8. Your tax year and quarterly updates
- Tap Tax for your income, costs, profit and estimated tax for the year.
- Quarterly updates for Making Tax Digital are listed with their due dates.
- Download everything for your accountant as a spreadsheet.
